Cancellation Policy

In short: Please cancel or reschedule at least 24 hours before your appointment. Late cancellations and missed sessions are subject to a $175 fee that insurance does not cover.
1. Why This Policy Exists
Your appointment time is reserved exclusively for you. When a session is missed or cancelled late, that time cannot be offered to another client — often someone waiting for an opening. Consistent attendance also supports your own progress in care.
2. 24-Hour Cancellation Window
Please cancel or reschedule at least 24 hours before your scheduled appointment time. The 24-hour window includes weekends and holidays.

If you must cancel within 24 hours of your appointment, call (479) 259-1390 as soon as possible. When clinically appropriate and scheduling allows, we may offer a same-day telehealth session as an alternative.
3. Late Cancellation & No-Show Fee
Missed appointments and cancellations made within 24 hours of the appointment time are subject to a $175 fee, except where prohibited by law or by your coverage program (for example, Medicaid clients are not charged missed-appointment fees). No more than one such fee will be charged in any week.
- This fee is not covered or reimbursable by insurance; you are responsible for it directly.
- We understand that genuine emergencies and sudden illness happen. A documented emergency may qualify for a fee waiver at our discretion.

4. Continued Scheduling
If three or more appointments are missed or late-cancelled within a 90-day period, we may release your recurring time slot. You are welcome to rejoin the waitlist, and we will work with you to find a schedule that fits.
5. Where We Provide Services
Services are provided only to clients physically located, at the time of session, in a jurisdiction where our clinicians are licensed: Arizona, Arkansas, Virginia, or the U.S. Virgin Islands.

By scheduling an appointment, you acknowledge that therapy outcomes vary and that ZipHealthy, PLLC does not guarantee specific results. Insurance verification is offered as a courtesy and does not guarantee coverage or payment; clients are responsible for understanding their benefits.
