Cancellation Policy

In short: Please cancel or reschedule at least 24 hours before your appointment. Late cancellations and missed sessions are subject to a $175 fee that insurance does not cover. This policy applies to clinical appointments (therapy, assessment and consultation). Coaching, consulting, workshops and employer programs are governed by their own written engagement letters, summarized in our Engagement Terms.
1. Why This Policy Exists
Your appointment time is reserved exclusively for you. When a session is missed or cancelled late, that time cannot be offered to another client, often someone waiting for an opening. Consistent attendance also supports your own progress in care.
2. 24-Hour Cancellation Window
Please cancel or reschedule at least 24 hours before your scheduled appointment time. The 24-hour window includes weekends and holidays.

If you must cancel within 24 hours of your appointment, call (479) 259-1390 as soon as possible. When clinically appropriate and scheduling allows, we may offer a same-day telehealth session as an alternative.
3. Late Cancellation & No-Show Fee
Missed appointments and cancellations made within 24 hours of the appointment time are subject to a $175 fee, except where prohibited by law or by your coverage program (for example, VA Community Care clients are not charged missed-appointment fees, and ARHOME plans such as Ambetter and Arkansas Blue Cross ARHOME plans are commercial insurance, so the fee applies). No more than one such fee will be charged in any week.
- This fee is not covered or reimbursable by insurance; you are responsible for it directly.
- We understand that genuine emergencies and sudden illness happen. A documented emergency may qualify for a fee waiver at our discretion.

4. Continued Scheduling
If three or more appointments are missed or late-cancelled within a 90-day period, we may release your recurring time slot. You are welcome to rejoin the waitlist, and we will work with you to find a schedule that fits.
5. Where We Provide Services
Services are provided only to clients physically located, at the time of session, in a jurisdiction where our clinicians are licensed: Arizona, Arkansas, Florida, Virginia, or the U.S. Virgin Islands.
6. Important Notices
By scheduling an appointment, you acknowledge that therapy outcomes vary and that ZipHealthy, PLLC does not guarantee specific results. Insurance verification is offered as a courtesy and does not guarantee coverage or payment; clients are responsible for understanding their benefits.
Crisis support: ZipHealthy, PLLC does not provide emergency or crisis services. If you are in crisis, call or text 988 (Suicide & Crisis Lifeline), call 911, or go to your nearest emergency room.
7. Coaching, Consulting, Workshops and Employer Programs
This Cancellation Policy does not apply to ZipHealthy's non-clinical services. Every coaching, consulting, workshop or employer-program engagement begins with a written engagement letter, signed by both parties, that states its own fee, cancellation, rescheduling, termination and refund terms. The standard terms those letters contain are summarized on our Engagement Terms page. Where a signed letter differs from that summary, the letter governs.
